Frequently Asked Questions - Recruitment and Staffing

1. I have an administrative position posted, and I haven’t reviewed the applications yet, but I have so many entries.  Is there something I can do?

2.  I have a COLT job posted, but I don’t see any applications in the ATS?  Did anyone apply for my job?

Q. I have an administrative position posted, and I haven’t reviewed the applications yet, but I have so many entries.  Is there something I can do?

A. Yes.  We can remove the posting from the job listings for you, while you review the applications.  If, after reviewing your first group, you still want to review additional applicants, we can “restore” the posting.  The position will not be closed until the final candidate has been confirmed.

Q. I have a COLT job posted, but I don’t see any applications in the ATS?  Did anyone apply for my job?

A. There are two different application processes.  For APS positions, you can see all of your applicants immediately if you are an Authorizer, Requestor, or Reviewer.  However, with bargaining unit positions, all applications are screened in Human Resources before being released.  If there are any bids (applications from other Rutgers University/Type 1 employees), these are screened for qualification and released first.   These internal applicants must be interviewed.  (If none of the bidders are selected for the position, you must be prepared to justify your decision as it is a grievable action.)  If there are no bidders, resumes from applicants are reviewed in Human Resources and those who meet the minimum qualifications of the position are released for your review.  You will be notified by our office when that occurs.

Q.  I am having difficulty finding just the right candidate for my position?  Can I use a head hunter or search firm?  Will HR pay for it?

A. Human Resources does not pay for external recruiting.  External advertising via newspapers, journals, or websites can be arranged through Human Resources-Newark, but the department is responsible for the cost. 

There are two web-based advertising sites offered to departments free of charge for APS positions:

  • Administrative, Supervisory, & Professional postings are posted on www.njherc.org (NJ Higher Education Recruitment Consortium) when posted on the university website. 
  • Additional web-based advertising can be requested for higheredjobs.com.  For advertising assistance, contact DeAnna Adams at extension 5501 or deannaa@newark.rutgers.edu.
